Ocean Pines Association Briefs

(June 30, 2016) The Ocean Pines Association Board of Directors discussed the following items during a public meeting on Saturday.
Two absences
Two directors did not attend the meeting. Dave Stevens was on vacation, while President Pat Renaud was in New York to attend the “very happy occasion” of a film premier, according to Vice President Cheryl Jacobs. Renaud’s son is the director of “The Secret Life of Pets.”
Filling in for Renaud during the meeting, Jacobs opened by praising the elections committee for running a successful candidate forum last Wednesday, and she urged the public to watch a video of the event, which can be viewed on the association’s official YouTube channel or by using the direct link www.youtube.com/watch?v=0IWl8lAt7Go
Change in agenda
Director Tom Herrick pulled two items under “old business.” They were updates on platform tennis and capital improvements to the county club, which had been discussed during a previous meeting.
Director Tom Terry also asked that the meeting minutes show that he “owe[s] the board of directors a report in July” on changes to the association’s investment guidelines.
GM report
General Manager Bob Thompson said May is always “an interesting month” and that heavy rains affected revenues at several amenities.
The golf course finished about $27,000 behind budget, while the yacht club closed out the month more than $64,000 below budget. He said aquatics was the lone “bright spot,” finishing more than $20,000 ahead of estimates.
Under “unfinished business,” Thompson said a contract was awarded for bridge repairs, with an estimated start date just after Labor Day.
Thompson said the association was also working to address a mysterious odor emanating from the first floor of the yacht club, and that the next step was to change intake vents. If the problem persists, he said scopes with cameras would be used to identify the problem.
Work on the sports core pool is scheduled to start during the second week of July, a request for proposals was sent out June 15 for improvements to the beach club bathrooms, and estimates are being put together for conversion of two tennis courts into pickle ball courts.
Thompson also sent a memorandum on the “next steps” of the reserve study to the directors on June 8. Updates to the study should be done during the next week or two, he said, including plugging in fiscal 2017 budget numbers. Thompson said the board also needed to agree on a funding percentage.
Terry said work sessions discussing the study would likely be called before the July regular board meeting.
CPI update
Compliance, permits and inspections procedures were expected to get a revamp during the meeting. Terry said he and Jacobs were still working on those, and would likely make a presentation during the July regular board meeting.
Universal membership
Director Jack Collins moved to set a “universal racquet membership renewal date.” Currently, he said, memberships expire during staggering dates throughout the year, which can cause confusion and lapsed membership.
Thompson said he had not been asked to consider the ramifications of setting a universal date, and asked for time to do so. A motion to table the matter until Thompson could assess the universal date passed 4-1, with Director Bill Cordwell voting “no.”
Appointment
The board unanimously approved the appointment of Matthew Groves to the recreation and parks advisory committee. It is Groves’ first term.
Closed session
Following the regular session, the directors adjourned to discuss a turnover agreement related to section 17, also known as “The Point” in Ocean Pines.
Terry, in an interview on Monday, clarified that developers, once work is finished, routinely “turn over” properties to Ocean Pines. That had apparently not been done with The Point. He said the board would make a formal announcement during the next regular meeting.
